Job Summary:

Pickering House Inn and our affiliate company, Pavilion Hospitality, LLC, are seeking a professional who is committed to creating an unparalleled experience for event guests at our properties.  Located in Wolfeboro, New Hampshire, Pickering House Inn is a year-round 10-room luxury boutique inn with the attached, restored Barn at Pickering House, providing seating for up to 150 and a full bar service. Opening in late 2020, the property will be adding the PAVILION, a 52-seat restaurant with a private dining room (with porch) and a seasonal outdoor patio and garden for dining and events.

The Venues Manager position reports to the Executive Chef and requires a multi-tasking, self-starting individual who will be responsible for meeting with clients, booking events, and increasing revenues with primary focus on weddings, rehearsal dinners, corporate events, food and beverage sales, etc. Responsibilities include the implementation of various strategies and action plans to actively solicit sales for the property within the parameters set in consultation with the Executive Chef and ownership for pricing, types of events, and services to be provided by the Inn.  This will include timely follow-up, preparing estimates and proposals in cooperation with the Executive Chef and the Inn’s guest services manager, and oversight of events.  Event oversight will include day-of-event management, event staffing and management of our overall events program on the property.

For large private client events, the Venues Manager will be responsible for tracking the status of support vendors, coordinating policies with outside vendors, and serving as the point person for the client before and through the event timeline. Ability to provide clear communication to the client is key but please note that this is not a wedding planner position. This position is focused solely on managing the venue, with planning for the event completed by others.

For smaller private events and our own public event schedule, the Venues Manager will include oversight of the event including day-of-event management, event staffing and overall management.

The Event Manager is responsible for achieving or exceeding property-wide annual event related revenue goals while maintaining the highest level of service and guest satisfaction.

Duties and Responsibilities:

  • Prepare proposal quotations and contracts for review by management prior to presentation to clients.
  • Decide budget, location, and manage the entire event within the parameters of our various site venues.
  • Communicate the plan to kitchen and guest services staff, the event organizers, and client.
  • Recruit and hire, with the approval of the Executive Chef and in compliance with our employment policies, the bar and wait staff required for events.
  • Develop and work with our approved list of supporting vendors, including outside caterers for events not catered by Pavilion Hospitality. All outside vendors must reflect the quality of the experience we expect to provide, and they must understand and comply with all rules, processes and procedures in place for the property while on premises.
  • Assist in the development of our property’s own program of events to support our high-end hospitality model and drive business to the inn for room night commitments and Food and Beverage sale opportunities.   
  • Decide the infrastructure and number of people required for each event and manage floor and bar staffing of events.
  • Meet and communicate with kitchen and guest services management staff regularly, and receive and provide event status reports.
  • Ensure that events are staying on budget and communicate status with both management and the client. 
  • Be present and handle issues and problems that arise during the events.
  • Follow up after the event and collect reviews from the clients, as well as internal reviews with staff and management to identify strengths and areas in need of improvement. These reviews will be documented and presented to the Executive Chef and ownership for reference.
  • Serve alcohol responsibly and in compliance with NH laws and the alcohol policies of the Inn.
  • Comply with all company accounting policies and procedures.
  • Maintain and encourage a positive work environment at the Inn for clients, guests and staff.
  • Maintain a neat and professional appearance.
